Conditions for Joining the VAMAS Mutual Program

1. Membership Requirements
  • Applicants must be a VAMAS member and pay the monthly Nguyet Liem Fee.
  • An application form must be completed and submitted in person at the VAMAS Office.
  • If deemed necessary, the Board of Management (BOM) may assess the applicant’s health status.
2. Enrollment Fees
  • A one-time enrollment fee of $10.00 is required
3. Acceptance Conditions
  • Applicants will be officially accepted into the VAMAS Mutual Program after actively participating and fulfilling their obligations for 12 months.
  • Members must designate at least one or two beneficiaries.

Member Duties and Responsibilities

1. Fee Payment
  • Members who fail to pay the mutual fees for five consecutive cases (when five mutual students pass away) will have their names temporarily removed from the list.
  • If the member does not settle the outstanding fees within 30 days, their membership will be considered automatically withdrawn, forfeiting all mutual benefits and requiring repayment of any outstanding amounts.
2. Rejoining Policy
  • To rejoin, individuals must follow the full membership application process as a new member, including completing the membership form, paying the enrollment fee, and waiting 12 months to officially rejoin.
  • Each member is allowed to rejoin only once.
  • In exceptional cases, rejoining requests will require approval from the Executive Board.
3. Special Cases
  • If a member, with a valid reason approved by the Executive Board, seeks to rejoin the VAMAS Mutual Program, they must:
    • Repay all outstanding balances.
    • Be present at the Association Office.
    • Wait 12 months to officially rejoin.

By adhering to these conditions and responsibilities, members contribute to the mutual support and sustainability of the VAMAS Mutual Program.

Benefits of the VAMAS Mutual Program

1. Payout for Beneficiaries

When a full member passes away, their beneficiary will receive 80% of the Total Mutual Fund.

The Total Mutual Fund is calculated as:

    • $10 x Total Active Members x 80%

Example: If there are 850 active members:

    • Total Contributions: $10 x 850 = $8,500
    • Total Mutual Fund: $8,500 x 80% = $6,800
2. Payout for Members Passing Away Within the First 12 Months

Benefits for members who pass away before completing 12 months are adjusted as follows:

    • 3–6 months (90–179 days): 25% of the total amount
    • 6–9 months (180–269 days): 50% of the total amount
    • 9–12 months (270–364 days): 75% of the total amount
3. Additional Support

Members can request assistance with administrative procedures and funeral arrangements through the Executive Board.

4. Relocation Flexibility

Members who move to another city or state can remain in the program by:

    • Updating their new address and contact information with the local office.
    • Continuing to pay the required mutual fees in full.
5. Fund Distribution

Beneficiaries will receive the Mutual Fund payment via a check issued by the VAMAS Association.

Organization of the VAMAS Mutual Program

1. Management Structure
    • The Mutual Program is overseen by the Head of the Mutual Affairs Department, operating under the VAMAS Executive Board.
    • The Chairman of the Mutual Assistance Committee is nominated by the VAMAS President and approved by the Board of Directors.
2. Responsibilities of the Head of the Mutual Affairs Department
    • Process membership applications and collect mutual fees.
    • Report late payments or violations of program principles.
    • Provide regular updates on the total number of active members to the Board of Directors.
3. Procedure for Receiving Mutual Funds
    • The beneficiary or family must notify the Team Leader, who will inform the Board of Directors.
    • A Mutual Voucher is created, and a check is signed for the beneficiary.
    • The Board of Directors and Visitation Department will visit the funeral home to present the check to the beneficiary.
    • The beneficiary must submit the Original Death Certificate within 10 days.
    • For deaths occurring outside the U.S. (e.g., in Vietnam), the beneficiary must provide a photo of the deceased member’s funeral.
4. Policy Approval
    • This Mutual Assistance Policy, approved on February 24, 2015, is the official and only policy for the program and is immediately effective for all members.
